Local examples show why the full workflow matters.
CCNS in Salt Lake City describes Brightwheel check-in along with billing and school-wide communication. UKids–Sunnyside's parent handbook describes Procare sign-in/out together with a direct teacher handoff.
These examples show how attendance can sit inside a broader routine. They are not SolvoRoster customers or endorsements, and they do not imply dissatisfaction with either system. Before comparing alternatives, identify the particular task your center needs to improve.
Perhaps staff spend too much time reconstructing a missed checkout, or the director needs a clearer daily report. A specific problem is a better starting point than changing software simply because another product offers QR check-in.
Compare the same day, step by step.
| Task | What to demonstrate |
|---|---|
| Family arrival | A card scan, child selection, and the resulting attendance record. |
| Staff review | Finding who is recorded as present and handling a forgotten card. |
| Correction | Fixing a missed event while preserving who changed it and why. |
| Director report | Reviewing a date range, printing the output, and checking export fields. |
| Total fit | Subscription, equipment, training, and any other software you still need. |
SolvoRoster supports family-card kiosk attendance, a live recorded roster, staff corrections, and attendance reports. Keep the demonstration tied to those capabilities and compare the actual result against your center's needs.
Make the transition a defined project.
- Inventory the work your current platform handles. Assign an owner for any function that will stay elsewhere.
- Preserve historical records and confirm how you will retrieve them later.
- Review family data, staff permissions, cards, and kiosk equipment before the first live arrival.
- Rehearse exceptions with staff, then tell families which check-in procedure to use and when it begins.
- Review the first day's records before expanding the rollout. If two systems are temporarily in use, identify which is the authoritative record.
For a center in Salt Lake City, West Valley City, or elsewhere in the county, the same questions apply: who owns the change, what happens during an internet interruption, and how will staff know a record is complete? Software should support your pickup authorization and supervision procedures.
Resources for Salt Lake County directors.
Salt Lake Community College's early-childhood resource page links local and statewide family, child care, and licensing resources. For provider information, use the state's Care About Childcare directory.
Review the current DWS provider guide if subsidy attendance records are part of your workflow. SolvoRoster is not presented here as DWS-approved, and exporting a CSV is not itself proof that a reporting requirement is met.
Questions to work through before you switch
- Is SolvoRoster a replacement for every Brightwheel or Procare feature?
- No. Evaluate it for attendance, pickup records, live roster visibility, and reporting. If your existing system also handles tuition, daily care logs, or other essential work, establish how that work will continue before switching.
- Does SolvoRoster automatically sync with our existing platform?
- Do not assume an integration or automatic migration. Bring the systems and record formats you use to the demo so the setup and transition can be scoped accurately.
- What should we compare in a demonstration?
- Use the same scenario in both systems: a family arrives, one child leaves early, staff correct a missed event, and the director reviews the day. Look at the number of handoffs and the resulting record, as well as the screen design.
- Should we cancel our current subscription first?
- First confirm how you will retain and access historical records, which functions you still depend on, and any contract notice period. A new check-in workflow should not leave a gap in those responsibilities.
- Can a successful demo establish subsidy-reporting compliance?
- A demonstration alone does not establish approval. Review the current Utah DWS criteria and verify the complete identity, report, audit-history, and retention workflow before adopting a system for that purpose.
