A guide for Weber County, Utah directors

Keep child care attendance clear across your Ogden-area program day.

Morning preschool, extended care, and the last pickup can involve different staff and different schedules. For Ogden and Weber County child care teams, SolvoRoster provides a shared view of recorded attendance and the history behind each arrival and departure.

Different schedules need a clear record of actual attendance.

Child care in the Ogden area includes both school-day and longer-day programs. For example, YMCA of Northern Utah's published early-learning options include year-round care at its Ogden community family center and school-year programs with half-day, full-day, and short-Friday schedules.

That variety is a useful reason to test attendance software with a real program day. A child scheduled for a session may arrive late, leave early, or continue into another part of your program. Capture what happened, then use those records in staff handoffs and end-of-day review.

The YMCA is cited as a local schedule example, not as a SolvoRoster customer or partner. Your program's own policies determine how handoffs and attendance records should work.

Three moments to make visible to your team.

Arrival: who has actually checked in?

A family scans a card at the kiosk and selects the children arriving. Staff use the live roster to review recorded attendance alongside their normal welcome and supervision routine.

Handoff: what does the next staff member need?

Before a shift or program transition, compare the roster with children in care. Resolve missing events and communicate early pickups directly. A digital record does not replace a physical headcount or a staff handoff.

Closing: which records need review?

Review anyone still marked present, confirm what actually happened, and use correction tools for missed punches. Preserve the reason for a correction so the next person reviewing the report has context.

Build a report review into your daily routine.

Whether your center is in Ogden, Roy, North Ogden, or South Ogden, a useful report should answer concrete questions: which child attended, when they arrived and left, and whether staff corrected an event.

Local support and Utah record requirements.

Child Care Resource Agency Northern at Weber State serves Weber, Davis, and Morgan counties, with resources for providers and families. It is an independent resource, not a SolvoRoster endorsement.

Programs receiving child care subsidies should consult the current Utah DWS provider guide. Its attendance criteria address the person recording attendance, individual child records, change history, report integrity, and historical access. Export availability alone does not establish approval, and this page does not claim that SolvoRoster is DWS-approved.

Questions to work through before you switch

Does the live roster show a child’s classroom or transport location?
The currently-present roster reflects recorded check-in and checkout events. Do not treat it as classroom location tracking, transport confirmation, or an automatic child-to-staff ratio calculation.
Should moving from preschool to extended care count as checkout?
Agree on what an attendance event means for your program before rollout. An internal handoff is different from a child leaving care. Review your configuration and handoff procedure in the demo so the records reflect the actual day.
Can we review more than one day of attendance?
Yes. SolvoRoster offers daily and date-range reporting, attendance history, print views, and CSV exports. Use a sample of your normal reporting period to check whether the output fits your needs.
How do we correct an inaccurate departure time?
Staff can correct attendance timestamps with a required reason. The correction workflow preserves the original event in the audit history rather than silently overwriting it.
Can we stop using our existing system immediately?
First confirm which billing, communication, and record-retention functions you still need. Preserve access to existing history and validate reporting requirements before switching. SolvoRoster needs internet access; plan for interruptions too.
