Keep the procedure consistent, even when schedules differ.
Local programs illustrate the range of locations and schedules a team may coordinate. Early Learning Essentials publishes center information for communities including Lehi, Orem, and Provo, with part-day and extended-day schedules. Mom Pod lists an Orem location alongside its West Valley location.
These are examples of how programs operate across locations, not SolvoRoster customers or endorsements. Their public information does not establish which software another center should choose or whether it is expanding.
For your own program, separate the routine you want every team to follow from the details that vary by site. Staff should agree on how to record an arrival and resolve a missed checkout even when hours, enrollment, or handoff patterns differ.
Decide what is shared and what stays site-specific.
A shared operating procedure
- The family check-in steps staff teach.
- The process for a forgotten card or missed punch.
- The reason required when correcting attendance.
- The questions a director asks during report review.
A setup for each location
- The families and children enrolled at that site.
- Staff access and responsibility for closing review.
- Kiosk placement, equipment, and connectivity.
- Local handoffs and required administrative records.
SolvoRoster supports kiosk check-in, manual staff attendance actions, attendance history, and reports. Review the access and reporting setup for your intended locations in a demo rather than assuming that standard procedures mean shared access to every record.
Prove the routine at one site before repeating it.
1. Use a representative day.
Choose a day with normal arrivals, an early pickup, and a staff handoff. Reconcile the live recorded roster with children physically present.
2. Review an exception with the director.
Practice correcting a missed sign-out with a reason. Confirm the resulting attendance history and report are understandable to someone who was not at the front desk.
3. Write down what the next team needs.
Document the setup, staff responsibilities, family instructions, and interruption procedure. Repeat the checks at the next location and preserve access to prior records.
This approach is a suggested rollout method, not a guarantee about setup time or business growth. Bring your site count and reporting needs when reviewing pricing and implementation.
Utah County resources and the statewide picture.
Utah Valley University's Child Care Resource Agency serves Utah County as part of the Mountainland region and offers support for child care providers. You do not need to be affiliated with UVU to use its services.
For subsidy-related attendance requirements, consult the current DWS provider guide. Confirm identity, report, and historical-access requirements before a change; this page does not claim DWS approval for SolvoRoster.
For other counties, visit the statewide Utah child care hub. Utah County is one local guide within that statewide resource.
Questions to work through before you switch
- Is this page about Utah County or the whole state?
- This guide focuses on Utah County programs, including the Provo, Orem, and Lehi area. The statewide Utah child care page links all five county guides and broader Utah resources.
- Can we use the same procedure at more than one site?
- Yes, you can standardize the steps your staff follow. Scope each location’s configuration, family records, permissions, kiosk, and reports during onboarding. Do not assume a card or staff login will automatically have access to every site.
- Does a child moving between rooms need to check out?
- An internal handoff is different from leaving care. Define that distinction with your staff before rollout. Recorded attendance should reflect arrivals and departures; it should not be treated as automatic classroom or transport tracking.
- Will SolvoRoster replace all of our program-management tools?
- Evaluate it for attendance, pickup records, live roster visibility, and reporting. Curriculum, tuition billing, and other program-specific records need their own fit assessment. No external system integration is assumed.
- How should we measure whether a rollout works?
- Compare missed punches, the effort needed to resolve them, and whether directors can retrieve the reports they need. Use your own before-and-after observations rather than assuming a promised amount of time savings.
